The biggest lie in the solopreneur world is that you need more time.

You do not need more time. You need fewer tasks that only you can do.

Everything else should be handled by a system. And right now, AI is the most powerful system available to anyone building an online business alone.

I do not use AI occasionally. I use it as an operating layer across everything I do. And when I mapped out where my time actually goes each week, I found 10 hours that AI now handles completely.

Here is the exact workflow. Not inspiration. The actual process.

THE 5 TASKS AI NOW HANDLES FOR ME EVERY WEEK

TASK 1: First drafts of everything

Every piece of content, every email, every caption, every product description starts with an AI draft. I do not open a blank document anymore. Ever. I open a prompt.

The draft is never perfect. But a bad first draft takes 10 minutes to edit. A blank page takes 2 hours to fill. That shift alone saves me 3 to 4 hours a week.

TASK 2: Research and competitive analysis

Any time I need to understand a topic, find out what competitors are doing, or identify what my audience is searching for, I run it through AI before I open a browser. AI compresses 2 hours of research into 15 minutes. I use the browser to verify, not to discover.

TASK 3: Repurposing content across formats

Every piece of content I create gets fed back into AI with one instruction: turn this into three other formats. A newsletter becomes a carousel, a caption, and a short video script. One piece of thinking, four pieces of content. The repurposing used to take me an hour per piece. Now it takes five minutes.

TASK 4: Responding to common questions and DMs

I keep a running document of the most common questions I get from my audience. Every few weeks I feed that document into AI and ask it to write template responses I can personalise with one sentence. My response time went from days to minutes. My audience thinks I am remarkably attentive. I am just remarkably organised.

TASK 5: Weekly planning and prioritisation

Every Monday morning I spend 10 minutes with AI doing a weekly planning session. I tell it what I am working on, what is not moving, and what I need to accomplish by Friday. It helps me identify what to cut, what to delegate, and what to focus on first. What used to be 45 minutes of journaling and list making is now a 10 minute conversation.

THE WORKFLOW BUILDER PROMPT

Now here is how to build your own version of this for your specific business.

Run this prompt once. It will map out exactly where AI can save you the most time based on how you actually spend your week.

You are a productivity and AI workflow strategist who specialises in helping solopreneurs identify where they are wasting time and build AI-powered systems to get those hours back.

Your job is to analyse how I spend my time each week and build me a personalised AI workflow that eliminates or dramatically reduces my most time-consuming tasks.

Ask me the following questions ONE AT A TIME. Wait for my full answer before moving on.

Ask me:

  1. Walk me through a typical week. What tasks do you spend the most time on from Monday to Friday?

  2. Which of those tasks feel like they drain your energy the most even when they do not take the longest?

  3. Which tasks do you find yourself putting off because they feel too heavy to start?

  4. What does your content creation process look like right now from idea to published?

  5. What repetitive tasks do you do every week that feel like they could be templated or automated?

Once I have answered all five questions, deliver the following:

PART 1: MY TIME AUDIT
Identify my top five time drains based on my answers. For each one, estimate how many hours per week it is costing me and explain why it is a drain rather than a high value activity.

PART 2: MY AI WORKFLOW
For each of the five time drains, give me a specific AI-powered solution. Include:

  • The exact type of prompt or system to use

  • Which AI tool is best for this task (ChatGPT, Claude, Perplexity, or another)

  • A realistic estimate of how much time this will save per week

  • One sentence on how to implement it starting today

PART 3: MY WEEKLY AI OPERATING SYSTEM
Build me a simple Monday to Friday AI workflow based on my specific situation. Tell me what to do with AI each day of the week, how long it should take, and what it replaces.

PART 4: THE QUICK WIN
Identify the single AI workflow I should implement first because it will save the most time with the least effort to set up. Tell me exactly how to do it in under 30 minutes today.

End with one honest observation about where my time is going that I probably already know but have not fully acted on yet.

WHAT TO DO AFTER YOU RUN IT

Print out Part 3 or save it somewhere you will actually look at it.

The goal is not to use AI more. The goal is to use AI intentionally. A random prompt here and there does not save 10 hours. A consistent weekly operating system does.

Run the prompt today. Build your workflow this week. By next Monday you will wonder how you managed without it.

Reply and tell me which task you are handing to AI first.

I read every reply. And if your workflow needs fine tuning, I will help you sharpen it.

Less doing. More building.
